Translate Your Custom CRM Content in HubSpot

If your team members operate in multiple languages, HubSpot provides robust tools that enable businesses to customize their customer relationship management (CRM) experience across different languages.   

Custom data translations enable a seamless user experience, ensuring they interact with the CRM in their preferred language. In HubSpot, you can create translations for various custom CRM elements, including:   

  • Custom Properties: Translate custom properties used for contacts, companies, deals, and tickets, ensuring that data fields are understandable for users in different regions.  
  • Pipeline and Pipeline Stage Properties: Customize and translate the stages of your sales, deal, or service pipelines to match your teams' linguistic preferences.  
  • Custom Object Labels: For businesses using HubSpot's custom objects feature, translating object labels allows you to maintain consistency and clarity across different languages. 

Prerequisites for Translating Custom CRM Content  

User Permissions 

  • Super Admin - Full access to HubSpot settings and can manage all aspects of the platform. 
  • Custom Data Translations Access - Users can create, edit, and manage translations with this permission. 

Supported Languages 

HubSpot offers translation capabilities for a variety of languages. The specific languages supported may vary, so checking the available options within your HubSpot account is essential.  

Translate your custom CRM content in HubSpot with ease. This feature is currently available with the following subscriptions: Marketing Hub Enterprise, Sales Hub Enterprise, Service Hub Enterprise, Operations Hub Enterprise, and Content Hub Enterprise. 

Adding Translations for CRM Data

Accessing the Translations Tool 

  1. 1. Log in to your HubSpot account and access the settings icon in the top navigation bar. 
  1. 2. Scroll down from the left sidebar menu and navigate to the "Data Management" section. 

Steps to Add a New Translation 

  1. Adding a new translation: Click "Add custom data translation" for your first translation or "Add translation" for subsequent ones. Select your desired language and click "Add."  
  1. Exporting an existing translation: Hover over the desired language in the translation table and click "Export." A dialog box will appear. Click "Export" again to download the translation file.  

The exported file includes translatable data, status, original text, and a reference key. Add translations to the corresponding language column, import the completed file back into HubSpot, and then click 'Turn on' to activate the translation.   

Once enabled, translated data will be visible to users who use HubSpot in the corresponding language. Meanwhile, the platform will not display translated values for users editing property labels or options.  

Editing the Translation File  

When you need to update or refine your translations in HubSpot, you can easily edit the file to ensure accuracy and consistency across your CRM. Download the translation file containing all the translatable elements from your custom CRM content. Update the translations as needed. To modify existing translations, edit the corresponding values within the language column. 

Importing the Translation File 

After you've edited and finalized your translation file, the next step is to import it back into HubSpot. To import the translated file, return to the Translations settings, hover over the desired language, and click "Import." Select the completed translation file and click "Import" again to upload the changes. This process ensures that your custom CRM content reflects the updated translations across the platform. 

Managing CRM Data Translations 

Editing, Adding, or Removing Translations  

  • Add New Translations: Navigate to the HubSpot Translations tool.  
  • Select the Language: Choose the language you want to modify.  
  • Edit Existing Translations: Locate the specific translations you want to update and make changes as needed.  
  • Add New Translations: Enter values into the empty cells under the corresponding language column to add new translations.  
  • Remove Translations: Clear the corresponding values within the language column to delete unwanted or outdated translations.
     

Turning Translations On/Off 

You may need to turn translations on or off based on evolving language requirements within your team. Adjust translation settings as required:  

  • Navigate to Translations Settings under Data Management.  
  • To Turn Off: Identify the language translations you want to disable, and then click 'Turn off.' This will prevent the translations from being displayed in the CRM for users using that language.   
  • To Turn Back On: To re-enable a translation, hover over the desired language and click "Turn on." Once turned on, the translations will be applied and visible in the CRM for users operating in that language.

  • Translation Import and Export Notifications

    Receiving notifications for completed translation imports and exports ensures you stay informed about the status of your CRM data translations and can promptly address issues. Enable email or desktop notifications for translation imports and exports by following these steps:  

    • From the left sidebar menu, navigate to the Notifications settings.  
    • Click on the Email or Desktop tabs to choose the type of notifications you want to receive. Toggle the switch to turn on email or desktop notifications.  
    • Expand the CRM section and select the Translations checkbox to receive a notification when a translation import is completed.  
    • To be notified when a translation export is completed, expand the System Notifications section and check the Export Completed box.  
    • Click Save to confirm your settings.
